Wholesale Jewelry Sample Approval Checklist

Check material, measurements, finish, function, branding, packaging, and revision details before approving a wholesale jewelry sample for production.

A wholesale jewelry sample should be approved against a written specification, not only an attractive photo. The goal is to identify exactly what the supplier should reproduce and which details still need correction before production.

Identify the sample and its purpose

Record the supplier style or project reference, sample date, revision, category, material direction, finish, size, and intended approval stage. A design prototype may confirm shape while a pre-production sample should represent the agreed production standard. Note any temporary components or unfinished details clearly.

Check dimensions, proportion, and wearing fit

  • Overall length, width, diameter, opening, and visible proportions
  • Pair matching for earrings and coordinated sets
  • Chain, clasp, hinge, post, back, and adjustable-part function
  • Weight and comfort against the intended customer and retail position

Review material and finish details

Confirm the agreed base material, plating or surface direction, color reference, polishing level, texture, enamel coverage, stones, pearls, and decorative components. Photograph any correction area at close range and describe the required outcome in words. “Make it better” is not a usable revision instruction.

Test the parts a customer will handle

Open and close clasps and hinges, check that earring backs fit correctly, move adjustable chains, and inspect edges and contact points. Use the jewelry quality-control process to align the sample review with the checks expected before shipment.

Approve branding and packaging with the product

Check logo size and position, jewelry cards, labels, SKU information, pouches, boxes, protective layers, and how the piece sits inside the package. The product and packaging should be reviewed together so chain tangling, loose pairs, label conflicts, or poor fit are found before the order is packed.

Issue one clear approval decision

Mark the sample as approved, approved with listed conditions, or requiring another revision. Keep the final images, measurement record, artwork, packaging specification, and correction history together. Do not release production while different messages contain conflicting instructions.

Send the supplier a complete approval record

Include the final sample reference, accepted details, remaining corrections, quantity breakdown, packing requirement, and the person authorized to approve production. Share your sample or specification with VELLITH when you need a wholesale, private-label, or custom jewelry review.
